Overview
The onboarding flow helps you set up your Gaia workspace for the first time. It ensures Gaia has context on your as an employer, can apply your brand, and connect to your ATS/HRIS/CRM or tracking. Use this process when activating a new account or joining Gaia as a new customer.
Step-by-step
Open your activation email and click the link to get started.
In Gaia, click Let’s Get Started to begin the onboarding flow.
Enter your website domain so Gaia can automatically pull context, branding, and relevant details.
Review the information Gaia has gathered and confirm it is correct.
Answer any remaining onboarding questions.
Click Next step.
Upload your logo and brand guidelines, or provide links to these.
You can skip this step if you prefer to complete it later or assign it to a colleague.
Select your industry and review or adjust your brand colours if applicable.
Click Next step.
Follow the on-screen instructions to connect your ATS/HRIS/CRM and/or set up GaiaConnect tracking.
Click Finish to complete onboarding.

Tips & Troubleshooting
Ensure you enter the correct domain (e.g., your careers or main company website) so Gaia pulls accurate context.
If brand guidelines aren’t ready, skip that step — it can be updated later in Organisation Settings.
You can complete integrations after onboarding if you don’t have credentials ready.
If the activation email hasn’t arrived, check spam/junk or ask your admin to resend it.
